Campaign Scheduling

Orbit has the ability to add a campaign schedule and set it to run at a required date, time, and time zone. This ability is available for the Broadcaster licensing bundle and above.

To send an email to an Audience created in Orbit:

  1. Select the Audience containing the recipients that you wish to target from the Audiences tab.

  2. Click the Audience Name to view the variables used, check, and export the data for the Audience.

    Note: Scheduling an email campaign can be completed in the Export panel.

  3. By default, the channel is set to Download. For an email, this needs to be changed to the most appropriate email channel.

  4. Once selected, click Export to choose the Message Template and schedule.

    Note: The Campaign name is prepopulated with the Audience name but can be changed if required. Choose a Message Template from the drop down menu. Orbit will send the output to the Message and then if required will send broadcast the message to the selected recipients.

  5. The Publish section displays the date and time by default as though the campaign were to run Now. This can be changed to a future scheduled date and time by selecting Edit.

  6. To change the Schedule from running Now, select the publish option Later. This enables the date, time, and time zone options.

  7. Change the details and click Save.

  8. To export the campaign with the schedule set, click Export.

Selecting a Repeat Schedule

Campaigns can be set up to run on a repeating schedule. You have the option to repeat the campaign on a daily, weekly, or monthly basis.

Setting a Daily Schedule

To set a daily schedule:

  1. Edit the Now schedule to apply a repeating rule. Select the Later publish option to enable the date, time, and time zone options.

  2. Check the box next to Repeat to enable the Repeating options.

  3. Select the frequency of the schedule. By default it is set to Day.

  4. To exclude weekends, check the box next to Exclude Weekends.

  5. To allow the campaign to run indefinitely, leave the End option as Never. If there is an end date to the campaign select the option At Date to define the end date of the campaign.

  6. Once set up, click Save to save the Schedule and return to the main screen to Export the campaign.

Setting a Weekly Schedule

To set a weekly schedule:

  1. Edit the Now schedule to apply a repeating rule. Select the publish option Later to enable the date, time, and time zone options.

  2. Tick the box next to Repeat to enable the Repeating options.

  3. Set the frequency of the schedule. By default this is set to Day. This can be changed by using the drop down menu and choosing Week:

  4. For example, to select the second week on a Monday, Wednesday, and Friday you can change the frequency and then click on the days of the week that you wish the campaign to run.

  5. To allow the campaign to run indefinitely, leave the End option as Never. If there is an end date to the campaign select the option At Date to define the end date of the campaign.

  6. Once set up, click Save to save the Schedule and return to the main screen to Export the campaign.

Setting a Monthly Schedule

To set a monthly schedule:

  1. Edit the Now schedule to apply a repeating rule. Select the publish option Later to enable the date, time, and time zone options.

  2. Tick the box next to Repeat to enable the Repeating options.

  3. Set the frequency of the schedule. By default frequency is set to Day. This can be changed by using the drop down menu and choosing month:

For example, you can choose to select the 1st day of every month by keeping the default option selected.

Alternatively, if you need a more specific day of the month to run the campaign, you can use the second option to select the first weekday, weekend or specific day of the week. You can also use this option to choose the second, third or fourth day of the month.

Setting a Yearly Schedule

To set a yearly schedule:

  1. Edit the Now schedule to apply a repeating rule. Select the publish option Later to enable the date, time, and time zone options.

  2. Tick the box next to Repeat to enable repeating options.

  3. Set the frequency of the schedule. By default frequency is set to Day. This can be changed by using the drop down menu and choosing Year:

You can select Every 1 year to run this schedule once a year. You can then choose when to run the campaigning within that year, whether that is on a particular date in the month or the 1st weekday, weekend, or day of the week.

Editing a Schedule

All campaigns are listed on the Campaign tab located on the top menu bar. An export where an email channel has been selected also appears as a Campaign on this tab. Editing a Campaign can also be completed via this tab.

To edit a schedule:

  1. Navigate to the Campaign tab in Orbit to view all campaigns.

  2. Click the Campaign to Edit the schedule.

    Note: By clicking on a campaign, you are taken to an overview dashboard, displaying a summary of communications, costs and responses.

    Note: The Monitoring tab also shows you the status of the campaign and when it was last run. The information of both screens can be changed using the date picker at the top right of the screen.

  3. To edit the schedule, click Edit Schedule, located next to the date picker.

  4. Amend the schedule as required and click Publish to apply the campaign schedule. The Campaign screen updates to show when the Campaign is next scheduled.

Deleting the Schedule

If an advanced schedule has been added to a campaign it can be edited and deleted in the Campaign tab in Orbit.

To delete a schedule:

  1. Click the Campaign within the Campaign tab. The Campaign Overview dashboard appears.

  2. On the right side of the screen, click Edit Schedule.

  3. To delete the schedule, click Delete Schedule.
