Exporting an audience

Audiences can be downloaded to your local computer, uploaded via FTP, or broadcasted to a channel. These audiences can be configured by an administrator in the Campaigning Channel Editor.

To export an audience:

  1. Click the Export tab to see the export step.

  2. Choose an existing export template or start a new one by choosing New Template.

  3. Choose the Delivery Channel from the Delivery drop down menu.

  4. Edit the output columns as required (See Chosing columns section).

  5. Click Export.

  6. If you have created a new export template, or edited an existing one, then you can choose to Save it.

Note: If you choose to deliver to a broadcast channel, then you are prompted for a campaign name and a message template.

Note: If you choose to download a file, then you are prompted for an output filename, file type, and an optional password for the zip file.

Note: If you set a password to encrypt the zip file, then you cannot use native Windows tools to extract it. Instead, you need to use a third-party extraction tool that supports ‘AES-256 encryption’, such as 7-Zip or WinZip.

Choosing columns

The output columns can be defined by pressing the Edit Columns button.

Columns are added from the system fields. Columns that are required by the output channel cannot be deleted. Additional fields can be reordered by dragging.

If required, an additional field can be added to the output file that contains a User Code that is output as an appended column.

When columns are reordered, the order of columns in the export also changes in the column chooser or on the grid.

Using PeopleStage to broadcast

If the broadcast channel is via PeopleStage, the details of the last broadcast are displayed at the end of the page. There is a link that navigates you to the summary page for that campaign.

Communication History

For users on a Campaigning License bundle, Orbit now has the ability to record communication history on a campaign by campaign basis. Operational campaigns, such as acknowledgments or policy notifications may not need their communication history to be recorded as they need to be sent regardless. However, campaigns that need including in a contact strategy or that need tracking for campaign reporting do need to be recorded. Orbit now gives the user control to choose what is being stored and tracked.

Tracking Communication History

After creating an Audience in Orbit, navigate to the Export tab in order to export a file of recipients to a chosen communication channel.

Users with a Campaigning License bundle are able to choose any channels that have been created via the Channel Editor in PeopleStage, or the Channel Editor in Orbit for Export. The ability to track communication history can be applied to campaigns where these types of channels are being selected.

To track communication history:

  1. Select the output Channel and choose Export.

  2. Type in the campaign details: Name; select a message template if applicable to the channel and set the campaigning schedule. See Campaign Scheduling.

  3. If you wish to track communication history for the campaign, then tick Record Communication History.

By ticking this box, Orbit records the number of communications sent out in the campaign and tracks who was included in the output file. Where any personalisation has been applied to the campaign, content history is also recorded as part of this process.

Note: Those with a PeopleStage instance, can view the Orbit campaign in the Orbit Area of PeopleStage. Any changes made to the campaign in PeopleStage such as adding additional Content is also recorded as part of the communication history going forward.

Note: Once Record Communication History has been ticked and the campaign has been published, there is currently no way of editing this option and turning it off.
